Description

The Gŵyl Beaumaris Festival is an annual celebration of music and the arts, held over five to seven days during the late May Bank Holiday period. We are currently inviting applications for the position of a part-time Administrator to manage the Festival’s diverse programme of concerts and events. This role offers an excellent opportunity for an individual with strong administrative and interpersonal skills. Knowledge of the Welsh language and some familiarity with the music and arts sector in north Wales are desirable.

The Administrator will need to demonstrate effective time-management skills, as the workload fluctuates throughout the year between quieter periods and times of increased activity. While many administrative responsibilities can be fulfilled remotely, the successful candidate must be available for on-site commitments leading up to Festival week and present at venues during both daytime and evening events as required.

Duties include:

· Providing regular updates to the Festival’s Artistic Director regarding ongoing tasks and following up on outstanding matters, reporting outcomes as appropriate.

· Scheduling and organizing Festival meetings, distributing agendas, and recording and preparing minutes.

· Preparing and submitting funding applications for the Festival.

· Serving as the primary contact for general enquiries and coordinating with key personnel at the Festival’s venues.

· Managing contracts for performers and artists, in conjunction with the Artistic Director, including arranging travel and accommodation logistics.

· Collaborating with the Marketing Officer to develop and implement marketing plans.

· Overseeing the production and distribution of the Festival’s booking form and programme book, working with the Artistic Director and Marketing Officer to collect performer and artist biographies and photographs, and negotiating printing costs.

· Maintaining and updating the Festival website in conjunction with the Marketing Officer.

· Monitoring Festival ticket sales and compiling all box office data.

· Arranging for the hire and tuning of a grand piano as required during Festival week.

· Creating a comprehensive ‘to do list’ prior to Festival week that outlines responsibilities and daily requirements for roles such as stage manager, front-of-house manager, box
